This Privacy Policy explains how UNICOOL, Inc. (“Unicool,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information when you use the Unicool mobile app, the Unicool web app, and our websites at unicoolkido.com and care.unicoolkido.com (together, the “Service”). It should be read together with our Terms and Conditions.

We are the data controller responsible for your personal information. You can contact us about anything in this Policy at support@unicoolkido.com.

In short: Unicool is used by a parent or carer to understand and support a child with ADHD or autism. To do that, you record information about your child — including information about their behaviour, mood, and wellbeing, which counts as health-related data. We only process that health-related data with your explicit consent, and you can withdraw it at any time. We do not sell your data, and we never use you or your child’s information for advertising or to build advertising audiences. You have strong rights over your data, which are described below.

1. Who this Policy is for, and about children

Unicool is designed to be used by an adult — a parent or legal guardian aged 18 or over — on behalf of their own child. The parent or guardian is our user and account holder. The child does not create an account and does not use the Service directly.

The information you record about your child is provided by you, as the person with parental responsibility, and we rely on your authority and consent to process it. We only collect information about a child that is needed to provide the Service, and we handle children’s information in line with the UK Children’s Code (Age Appropriate Design Code) and applicable children’s-privacy laws. Because Unicool is not directed to or used by children themselves, we do not knowingly collect personal information directly from a child. If you believe a child has provided us with information directly, contact us at support@unicoolkido.com and we will take appropriate steps.

2. Unicool is not medical care

Unicool is a supportive and educational tool. It is not a medical device and does not provide medical or clinical care, diagnosis, or treatment, and the information you record with it is not a clinical or medical record. This is explained in full in our Terms and Conditions. This Policy explains how we handle your information; it does not change the nature of the Service.

3. The information we collect

When you use Unicool, we collect several kinds of information. From you, as the parent or guardian, we collect the account details you provide — your name, email address, password, and your country and language — and any messages you send us, for example when you contact support. About your child, we collect the profile details you enter, such as the child’s name or nickname, age or date of birth, and gender, together with the logs and notes you record, for example observations about behaviour, mood, emotional regulation, meltdowns or periods of dysregulation, sensory triggers, sleep, routines, and other notes; this information relates to your child’s health and is treated as special category data, as explained in section 4.

We also process the messages and questions you send to Neri, our AI assistant, which may include information about your child, and the reports and summaries you generate, for example to share with a GP or SENCO or for an EHCP or tribunal. If you sign in through Apple or a similar provider, we may receive your name, an identifier such as your Apple ID, and basic settings such as language, country, and time zone. When you subscribe, your payment is processed by Apple, Stripe, and RevenueCat, and we receive confirmation of your purchase and subscription status but do not collect or store your full card details. Finally, we automatically collect certain usage and device information when you use the Service — such as device type and identifiers, IP address, operating system, app-interaction and feature-usage data, and diagnostic and performance data — through the analytics tools described in section 8.

4. Health-related (special category) data and your explicit consent

Some of the information you record about your child relates to their health, and under UK and EU data protection law this is “special category” data that receives extra protection. We process your child’s health-related data only on the basis of your explicit consent, which you give when you choose to record this information in Unicool. You can withdraw your consent at any time — by contacting us at support@unicoolkido.com or, where available, using the controls in the app. Withdrawing consent will stop further processing for that purpose and may mean parts of the Service no longer work, but it does not affect processing that already took place before you withdrew.

5. How we use your information, and our legal bases

We use personal information for a number of purposes, and where UK/EU GDPR applies we rely on a legal basis for each of them. We create and manage your account and provide the core Service on the basis of the performance of our contract with you (Article 6(1)(b)). We store and display the profile and the logs you record about your child, including health-related information, on the basis of that contract and, for the health-related data, your explicit consent (Article 9(2)(a)); the same bases apply when we provide the Neri assistant and generate the reports and summaries you request. We process payments and manage your subscription on the basis of our contract and our compliance with legal obligations (Article 6(1)(c)). We analyse usage to operate, secure, maintain, and improve the Service on the basis of our legitimate interests in running and improving a secure Service (Article 6(1)(f)) and, where required, your consent for analytics technologies. Where we develop and improve our models and prediction features, we proceed as described in section 7, using de-identified or aggregated data or relying on your explicit consent. We send you service messages on the basis of our contract, and we send marketing push notifications only with your consent (Article 6(1)(a)), which you can withdraw at any time. Finally, we keep records, comply with legal obligations, and establish, exercise, or defend legal claims on the basis of our legal obligations (Article 6(1)(c)) and our legitimate interests (Article 6(1)(f)).

6. What we do not do

We do not sell your personal information. We do not use you or your child’s information for third-party advertising, ad targeting, or to build advertising or “lookalike” audiences. And we do not share the information you record about your child with other users or make it public.

7. The Neri AI assistant, and how we develop our models

Neri is powered by Google’s Gemini models. When you send a message to Neri, that message — which may include information about your child — is sent to Google so it can generate a response for you. Google processes this content on our behalf as our service provider and does not use it to train its own models. Because Google is based in the United States, this involves an international transfer, which is safeguarded as described in section 10. Neri provides general information only and is not a substitute for professional advice, as explained in our Terms.

We also want to make Unicool’s insights and prediction features more helpful over time. We do not currently use your child’s personal data to train our own models. We may do so in the future; if we do, we will either first de-identify or aggregate the information so that it no longer identifies your child, or ask for your explicit consent, and we will update this Policy before we begin.

8. Sharing your information and our service providers

We share personal information only as described here. We use service providers (sub-processors) who process information on our behalf under contracts that require them to protect it and use it only for the services they provide to us: Supabase for database hosting and storage; Google, whose Firebase and Google Analytics tools we use for product analytics and diagnostics and whose Gemini models power the Neri assistant; Amplitude for product analytics; Postmark for sending service and transactional emails; Stripe for processing web payments; RevenueCat for managing subscriptions; and Apple for processing App Store payments and subscriptions.

We may also disclose information for legal and safety reasons, where we must comply with the law, respond to lawful requests, enforce our Terms, or protect the rights, safety, or property of our users, the public, or Unicool. If Unicool is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this Policy. And we share information where you ask us to or otherwise consent.

9. How long we keep your information

We keep your account and profile data — for both you and your child — and the logs you record for as long as your account is active. When you ask us to delete your data or you close your account, we erase your personal data within 30 days, and our backups are purged within 90 days. We keep payment and tax records for as long as the law requires, and we keep any information we need to establish, exercise, or defend legal claims for as long as necessary for that purpose.

10. International data transfers

Unicool is based in the United States, and some of our service providers are located in the United States and other countries. This means your information may be transferred to, stored in, or processed in countries outside the UK and the European Economic Area, whose data protection laws may differ from your own. Where we transfer personal information outside the UK or EEA, we use appropriate safeguards recognised under applicable law — such as the UK International Data Transfer Agreement (or Addendum) and the European Commission’s Standard Contractual Clauses — so that your information continues to be protected. 11. How we protect your information

We use appropriate technical and organisational measures designed to protect personal information, including encryption of data in transit and at rest, access controls on a least-privilege basis, and monitoring and logging. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work to protect your information and to review our measures over time.

12. Children’s data

As explained in section 1, the account holder must be an adult (18 or over), children do not have their own accounts, and the information about a child is provided by the parent or guardian, who consents to its processing. We collect only the information about a child that is needed to provide the Service. As the parent or guardian, you can access, correct, export, or delete your child’s information at any time, through the app where available or by contacting us at support@unicoolkido.com. We handle children’s information in line with the UK Children’s Code and, for users in the United States, the requirements of the Children’s Online Privacy Protection Act (COPPA), under which the child’s information is provided and consented to by you as the parent.

13. Your rights

Depending on where you live, you have rights over your personal information. For users in the UK and EU, these include the right to access the personal information we hold about you and your child; to correct information that is inaccurate or incomplete; to delete information (the “right to erasure”); to restrict or object to how we process information; to data portability, meaning to receive certain information in a portable format; and to withdraw consent at any time where we rely on consent, including your explicit consent for health-related data. To exercise any of these rights, contact support@unicoolkido.com; we may need to verify your identity before we act on a request, and we will respond within the time required by law.

If you are in the UK or EU and you believe we have not handled your information properly, you have the right to complain to a data protection authority — in the UK, the Information Commissioner’s Office (ICO), and in the EU, your local Data Protection Authority — though we would appreciate the chance to address your concern first. If you are in California or another US state, you may have the right to know what personal information we collect, to access or delete it, and to opt out of the “sale” or “sharing” of personal information; as noted in section 6, we do not sell your personal information and we do not use it for cross-context behavioural advertising. 14. Marketing communications

We may send you service messages that are necessary to provide the Service, for example about your account, your subscription, or important changes. Where you have opted in, we may also send you marketing push notifications. You can opt out of marketing at any time by turning off notifications in your device settings, using any in-app controls we provide, or contacting us, without affecting service messages.

15. Cookies and similar technologies

We and our analytics providers use cookies and similar technologies, such as device and app identifiers, on our websites and in our apps, to keep the Service working and to understand how it is used so we can improve it. You can control cookies through your browser settings and manage identifiers and analytics through your device settings. We do not use these technologies for third-party advertising.

16. Changes to this Policy

We may update this Privacy Policy from time to time. If we make material changes, we will let you know through the Service or by email before they take effect, and we will update the “last updated” date above. Please review this Policy periodically.
